Properly maintained files are one of the most significant keys to keeping cases straight for human services workers. Long gone are the days of paper files and stacks of file folders waiting to be filed in filing cabinets or file rooms. Today, human services workers use case management software programs starting from the initial intake of new clients to track them throughout their rehabilitation.

However, as with any technological advance, the software is only as effective as long as it is used to the extent to which it can be. Most software programs that are currently used are underused. With the ability to track and monitor cases automatically, one might wonder why the systems are underutilized to the extent which they are.

Unfriendly user interface

Perhaps the number one reason that human services software is underutilized is that the interface is not user friendly. When working with a software program, the information should be intuitive and easily entered into the system as well as it should be accessible at any point. In web design, one learns that there should only be one or two clicks for users to access any information contained on the entire website. Such is the case for the interface for software programs as well.

Complicated software

Software that is too complicated (anyone worked with writing Excel formulas lately?) is not often used to its complete potential. The greater part of the population is computer savvy, however many people are not able to pick up a new software program with ease and often software is designed to do far more than what it is actually utilized to do.

Not available in the cloud

Today's workforce is mobile. When evaluating products, take the time to determine if the files are securely accessible no matter where one is working or if they are stored onsite only. Mobile availability allows caseworkers to update their client files on the fly and keeps their record keeping more accurate. One should also ascertain if the program is available from mobile phones or tablets to allow caseworkers the utmost access to their information. All files should be secure as well.
